Frequently Asked Questions
Why is our database better than the information you will find in most guidebooks?
Our information is typically more current
Executive Event constantly updates our online database. While most location guides are printed every one or two years, we add new listings every day since this is the same database that our Event Planners use on a daily basis to book multiple events per year! Also, as places go out of business, or stop doing events, we delete them from our listings promptly.
We have listings the guidebooks don’t
Many locations are private clubs, mansions, and cultural facilities that prefer to maintain a low profile and will not be listed in any commercial books. Our contacts and service can offer these sites to our clients.
We verify the data
Most of the location guidebooks send specification forms to their sites, asking the sites to fill in capacity, price, style, etc. They use the site’s specifications in their books, without having seen the location in question, let alone having seen an event take place there. Not the case with Executive Event. Our Event Planners visit the majority of sites we recommend, often during events, to see how the room lays out for different size groups.
When booking an event, do I work through you or should I call the sites directly?
We work with our clients on all different levels. Some people prefer to call the sites directly and some prefer us to make the appointments for them. It all depends on what is most comfortable for you. In many cases, our event planners can arrange to accompany you on your site inspections, offering their expertise in comparing locations.
What if I already called a venue on my own and then you suggest it? Will I have to go through your service or can I continue my conversation with that venue independently?
We prefer to be your contact for all the locations you are considering. The value of our service is not in merely ‘finding’ the right location, but rather in expertly guiding our clients through the site selection process. We’ll help you compare locations, negotiate the best price and offer time-saving advice on how to plan the best event in a given location. If for some reason there is a conflict of interest, your Event Planner will tell you.
Do I have to use one of the sites you recommend?
No, you are under no obligation to use one of the sites we recommend. We want all our clients to hold their events at the location that best meets their criteria, and fits their vision for their event.
Do you plan and coordinate the event in addition to finding a site?
For corporate and non-profit events, yes, we frequently provide those services to our clients. For more information on these services, go to Event Coordination.
Do you get pricing from the venues for me or do I do the negotiating myself?
You’re free to do the negotiating yourself; however, you’re better served by letting your Event Planner do it for you. This is our area of expertise, and we place multiple events a year.
